Why OpenAI API

OpenAI’s API gives developers access to GPT models for text generation, reasoning, structured data extraction, embeddings for search, image understanding and speech. Adding these capabilities to an existing product or workflow can unlock significant time savings and new features.

Production use requires more than a quick API call: prompt design, structured outputs, retrieval over your data, guardrails, evaluation, cost controls and monitoring. We build these into every integration — and we compare OpenAI with alternatives such as Anthropic Claude and Google Gemini, so you use the best model for each task.

When OpenAI API is the right choice

Details
Great fit Text-heavy workflows, assistants, extraction from documents, semantic search, content drafting
Consider alternatives Strict data-residency needs (Azure OpenAI or self-hosted models), or tasks where another provider benchmarks better

Avoiding vendor lock-in

Model quality and pricing change quickly. We wrap model calls behind a thin internal interface, keep prompts and evaluation sets in version control, and test alternative models against the same evaluations. Switching providers — or routing different tasks to different models — then becomes a configuration change rather than a rewrite.

Choosing the right model and approach

Not every task needs the largest model. We match the model to the job: smaller, faster models for classification, extraction and routing; larger reasoning models for complex analysis; embeddings for search and retrieval. Prompting with clear instructions and examples solves most problems; retrieval-augmented generation (RAG) adds your own documents as context; fine-tuning is reserved for cases where consistent format or style cannot be achieved otherwise. We also design applications to be model-agnostic where sensible, so you can compare OpenAI with alternatives such as Anthropic Claude or Google Gemini without a rewrite.

Controlling cost and latency

  • Prompt caching and response caching for repeated context and common questions.
  • Batch processing for non-urgent workloads such as document classification.
  • Streaming responses so users see output immediately.
  • Structured outputs with JSON schemas to avoid retries caused by malformed responses.
  • Token budgets, usage dashboards and alerts per feature and per customer.

Reliability, safety and data handling

Language models can produce confident but incorrect answers, so production systems need guardrails. We ground responses in retrieved sources and show citations, validate outputs before they trigger actions, keep a human in the loop for consequential decisions and build evaluation sets that are run whenever prompts or models change. On data, we review the provider’s API data-retention and training policies with you, avoid sending unnecessary personal information and use enterprise or regional options where compliance requires them. Typical OpenAI API use cases

Support assistants

Answer customer questions from your help centre and escalate to people when needed.

Document processing

Extract fields from invoices, contracts and forms into structured data.

Internal knowledge search

Let staff ask questions across policies, wikis and past projects.

Content workflows

Draft product descriptions, summaries and translations for human review.

We usually start with a small pilot on real data and a clear success measure, then scale what works.

Prompt engineering as software engineering

Prompts are part of your application’s logic, so we treat them like code. That means they live in version control, change through review, and are tested before release:

  • System prompts and templates stored in the repository, not pasted into a dashboard
  • Structured outputs with JSON schemas so responses are machine-checked rather than parsed with fragile string matching
  • A library of example inputs and expected behaviours used as a regression suite
  • Clear separation between instructions and user-supplied content to reduce prompt-injection risk
  • Release notes when prompts or models change, so behaviour changes are traceable

Evaluating quality before and after launch

  1. Build an evaluation set

Collect real or realistic examples with what a good answer looks like, including edge cases and inputs that should be refused.

  2. Score automatically

Use exact checks where possible and model-graded rubrics for open-ended answers, calibrated against human judgement.

  3. Compare variants

Test prompt, model and retrieval changes against the same set before shipping.

  4. Monitor production

Sample live conversations, track user feedback and watch for drift after model updates.

A modest evaluation set of a few hundred well-chosen examples usually catches most regressions. It grows over time as new failure cases are found in production.

Function calling and tool use

Function calling lets the model request actions — looking up an order, creating a ticket, querying a database — while your code stays in control of what actually runs. We define small, well-described tools, validate every argument the model supplies, enforce the user’s permissions on the server and require confirmation for actions that change data or spend money. For multi-step workflows built on tool use, see AI agent development; for answers grounded in your documents, see RAG development.

OpenAI API cost levers

Lever Effect Trade-off
Use a smaller model for simple steps Lower cost and latency Needs evaluation to confirm quality
Prompt caching Cheaper repeated context Works best with stable prompt prefixes
Batch API for offline jobs Lower price for non-urgent work Results arrive later, not in real time
Shorter context Fewer input tokens per call Retrieval must select the right material
Response caching Avoids repeat calls for identical questions Must respect freshness and user permissions

Pricing and features change frequently; we check current options when planning your budget.

Rollout checklist for OpenAI features

  • Usage limits per user and per tenant to prevent runaway costs
  • Fallback behaviour when the API is slow or unavailable
  • Content moderation where users can submit free text
  • Clear labelling that responses are AI-generated where appropriate
  • Logging that respects your data-retention and privacy policies
  • A way for users to report poor answers

Where OpenAI features add the most value

The strongest early use cases share three traits: the task is repetitive, a person can quickly check the result, and mistakes are cheap to correct. Drafting replies for support agents, summarising long documents, classifying incoming requests and extracting fields from unstructured text all fit. Fully automated decisions with legal, financial or safety consequences should keep a human in the loop and start with a narrow scope.

We usually recommend starting with one workflow, measuring time saved and quality against the current process, and expanding only once the numbers support it.

Keeping humans in control

Every AI feature we build has a clear owner, an off switch and a way to review what the model produced. Users can see when content is AI-generated, correct it and report problems, and those reports feed back into the evaluation set.

FAQ

OpenAI API FAQ

Still have questions? Talk to a solutions architect — free, no obligation.

Is our data used to train OpenAI models?
Data sent through the OpenAI API is not used for training by default under OpenAI's API policies; Azure OpenAI offers additional enterprise controls.
How do you control API costs?
With model selection per task, prompt optimisation, caching, rate limits and per-feature budgets with alerts.
Should we use OpenAI or another provider?
It depends on the task. We benchmark several models on your real examples before deciding.
