Document management beyond shared drives

Shared drives and generic cloud storage are fine for everyday files, but they struggle with business-critical documents: contracts that need approval, compliance records that must be retained for set periods, client files with strict access rules and forms that must be filled, reviewed and filed consistently.

A document management system (DMS) adds structure: metadata, versioning, permissions, workflows, retention and search — so the right people find the right version quickly, and auditors can see the full history.

Problems we solve

  • Multiple versions of the same contract with no clear final copy
  • Hours spent searching folders and email for documents
  • Sensitive files accessible to the wrong people
  • Paper-based approvals and signatures
  • Retention and deletion rules handled inconsistently

What’s included

Secure repository

Folders, metadata, tags and permissions by role or client.

Version control

Full history, check-in/check-out and comparison.

Workflows & approvals

Review, approval and publishing steps with notifications.

E-signature

DocuSign, Dropbox Sign or built-in signing.

Search & OCR

Full-text search including scanned documents.

Retention & audit

Retention schedules, legal holds and complete audit trails.

Using AI on documents

Modern document systems can do more than store files. AI can classify incoming documents, extract key fields such as dates, parties and amounts, suggest metadata, summarise long documents and answer questions across the repository with sources. These features turn a passive archive into a working tool — with human review where accuracy matters.

Build, extend or buy?

SharePoint, Google Drive and specialist DMS products cover many needs. We often extend them — adding workflows, metadata, integrations and AI — rather than replacing them. A fully custom DMS makes sense when documents are central to a specialised process, such as client files in professional services or regulated records in healthcare and finance.

A document system is only as useful as its ability to find things. Folder structures alone break down quickly, so we design a metadata model with your team: document type, client or project, dates, status and owner. Metadata can be filled automatically from templates, integrations or AI extraction, and full-text search with OCR covers scanned files. Saved searches and filtered views replace deep folder trees.

  • Retention schedules per document type, with automatic review or deletion when periods end
  • Legal hold that suspends deletion for documents related to a dispute or audit
  • Immutable version history and audit logs of views, downloads and changes
  • Encryption at rest and in transit, with access controlled by role and record
  • Support for e-signature workflows and signed-document storage

Retention periods depend on your industry and jurisdiction — we implement the rules your legal or compliance advisers define.

Custom DMS or SharePoint?

If your organisation already uses Microsoft 365, SharePoint can often meet document needs with good configuration and a few custom workflows — we will tell you if that is the cheaper path. Custom document management becomes worthwhile when documents are tightly linked to your own business records, when external parties need a tailored experience, or when processing rules are complex. Migrating existing files

Most organisations start with years of files spread across network drives, email and cloud storage. A successful migration starts with an inventory: what exists, who owns it and what is still needed. Duplicates and obsolete files are archived rather than moved, folder names are mapped to metadata, and permissions are reviewed instead of copied blindly. Large migrations run in batches by department, with a verification step comparing counts and checksums so nothing is lost. The old location is then set to read-only for an agreed period before it is retired.

Core capabilities compared

Document management systems range from simple shared libraries to full content services platforms. Knowing which capabilities you actually need keeps scope — and cost — under control.

Capability Basic file sharing Document management system
Storage and folders Yes Yes, plus metadata and document types
Version history Limited Full history with check-in/check-out and comments
Search File names and some content Full-text, metadata filters and OCR on scans
Approvals and workflows Manual, by email Routed reviews, approvals and e-signatures
Permissions Folder-level Per document type, department, client or matter
Retention and legal hold Rarely Rules applied automatically by document type
Audit trail Basic Who viewed, edited, downloaded or shared each document

Document workflows worth automating

The biggest gains usually come not from storage but from the processes that move documents between people. Common candidates include:

Contract approvals

Route drafts to legal and finance, track changes and capture signatures.

Invoice processing

Capture supplier invoices, extract fields and send them for approval before they reach accounting.

Policy and SOP control

Publish controlled versions, require acknowledgement and schedule reviews.

Client onboarding packs

Collect, check and file identity, contract and compliance documents.

Quality records

Controlled forms and records for audits and certifications your organisation maintains.

Each workflow is configured as a sequence of steps, roles and deadlines, with reminders and escalation so documents do not stall in someone’s inbox.

Delivery approach

  1. Inventory documents and processes1–2 weeks

Identify document types, volumes, owners, retention needs and the workflows that touch them.

  2. Design the information model1–2 weeks

Define metadata, folder or library structure, permissions and naming conventions.

  3. Build and integrate6–12 weeks

Repositories, search, workflows and connections to email, CRM, ERP or e-signature tools.

  4. Migrate and train2–6 weeks

Move priority content first, clean up duplicates and train each department on its own workflows.

Timelines are typical and depend heavily on the volume and condition of existing files.

Common mistakes to avoid

  • Recreating a messy shared drive folder structure inside a new system
  • Making users fill in too many metadata fields, so they stop using it
  • Migrating everything, including years of duplicates and obsolete drafts
  • Setting permissions person by person instead of by role or group
  • Ignoring email, where many important documents still live
  • Launching without owners responsible for each document type

Measuring success

  • Time taken to find a specific document, before and after
  • Cycle time for approvals such as contracts or invoices
  • Share of documents stored with correct metadata
  • Reduction in duplicate copies and emailed attachments
  • Audit requests answered without manual searching

Document systems often connect to enterprise integration and business process automation projects.

Security and access design

Documents often hold the most sensitive information an organisation has: contracts, personnel files, financial records and client data. Access design therefore deserves as much attention as search or workflows.

  • Role and group permissions mapped to your directory, so access follows people as they change roles.
  • Matter- or client-based walls that stop teams seeing documents for clients they do not serve.
  • Sharing controls for external links: expiry dates, passwords and download restrictions.
  • Encryption in transit and at rest, with keys managed in your cloud account.
  • Activity monitoring that flags unusual mass downloads or access outside normal hours.

We review permissions with document owners before migration, because moving files into a new system is the best opportunity to remove access that should never have existed.

Capture from email and scanners

Many documents arrive by email or on paper. We set up capture routes — forwarding addresses, scanner profiles and mobile photo upload — that file documents straight into the right library with metadata suggested automatically, so nothing waits in an inbox to be saved.
